🆕 CXIMagic Quick Start Guide

CXIMagic is your new content annotation and editing tool for Tivian CXI. It centralizes all your videos, PDFs, and images (assets) — making review, feedback, and approval fast and simple.

With CXIMagic, you can:

  • Review all your assets in one place
  • Annotate visual elements and on-screen text
  • Edit scripts (which generate new voiceovers)
  • Submit approvals to our team with one click

If you haven’t received your custom review link, contact your Professional Services Lead — it gives you access to all assets associated with your project.

1. Accessing Your Assets

  • Click your custom link to open the Project Overview page.

  • Each asset is listed with its version number (v0 = original, higher numbers = newer versions).

  • Use the Request to Unpublish button if you want an asset removed from your TivianCXI instance.

  • If your subscription includes Communication Strategy, toggle to it from the top navigation bar.

  • Opening an asset will prompt you to enter your name for accurate feedback tracking.

  • Use the left navigation panel to move between assets or click the clock icon to view previous versions.


2. Reviewing & Editing

CXIMagic allows you to annotate on-screen visuals and update voiceover scripts directly within each video asset.

Annotation Mode – For Visual Elements & On-Screen Text Only

Use Annotation Mode to comment on visual design or on-screen text — not the voiceover script.


Videos:

  • Pause at the exact frame.

  • Use the Pen, Rectangle, Circle, or Arrow tools to mark changes.

  • Add a comment and click Save — it will appear in the right-hand sidebar.

PDFs & Images:

  • Highlight text (for PDFs) or draw a rectangle around areas to comment on.

  • View all annotations in the sidebar, resolve or delete comments as needed, and attach files if helpful.

Important: Use Annotation Mode for feedback and comments only.
 Any changes to scripts or voiceovers must be entered in Script Edit Mode.


Script Edit Mode – For Script & Voiceover Changes


Use Script Edit Mode to update scripts and voiceover text.

  • Enter your changes directly — deleted text shows in red (strikethrough), new text in green.

  • Use the formatting toolbar for emphasis, tables, or highlights.

  • Add new modules or chapters if needed.

  • Switch to Full Script Mode to review all markups side by side.

  • Changes save automatically and are sent to our team.

Important:

  • All edits entered here will be used to generate the voiceover. Please review carefully for accuracy.

  • If you only want to leave a comment (not change the script), use Annotation Mode instead.

  • We will assume all changes in Script Edit Mode are final and should be included in the voiceover.


Compare Versions

  • Clock Icon: View previous versions in Annotation Mode.

  • Compare Versions Button: View side-by-side text changes in Script Edit Mode.


3. Finalizing Statuses

At the top right of each asset, choose a status:

  • No Changes Required – Confirms no edits are needed.

  • Submit for Review – Sends edits/annotations to our team’s work queue.

  • Final Approval – Publishes the asset to TivianCXI and locks it for editing.

Note:

  • If an asset truly requires no updates, please use No Changes Required.

  • Marking an asset as No Changes Required locks it for this year’s OE cycle — no further edits will be made.

  • If you expect upcoming changes, take no action until those changes are ready.


4. Submission Best Practices

To avoid additional fees and keep production on schedule:

  • Finalize all updates before submitting — we cannot proceed until changes are consolidated.

  • Confirm your team has reviewed internally, resolved open questions, and combined all updates into a single submission.

  • Use No Changes Required only when you are confident no edits will be needed.

5. FAQ

Q: Can multiple people edit an asset at once?
 No. Assets are locked while someone is reviewing them to prevent overwrites.

Q: How will I know when a new version is ready?
 You’ll get an email notification.

Q: Can I edit after selecting Final Approval?
 No — contact your Professional Services Lead to unlock or request a new version.

Q: Why do I have to enter my name?
 It tags your annotations for clear feedback tracking.

Q: Can I download or export the script to work offline?
 No. All feedback and changes must be recorded in CXIMagic to ensure version control and avoid lost or conflicting edits. Offline review is not supported.

Q: What happens if I leave comments in Script Edit Mode?
 They will be treated as final script changes and used in the next voiceover. For comments or questions, use Annotation Mode.

Q: What if we change our minds after Final Approval?
 Changes requested after Final Approval may require a new work order or incur additional costs. Contact your Professional Services Lead to discuss next steps.

Q: When should we submit our edits?
 Only submit edits after your entire team has completed its internal review and consolidated all feedback. Submitting prematurely will:

  • Lock this round of edits until a new version is released

  • Consume one of your contracted revision rounds

  • Risk additional fees if you exceed your revision allowance

  • Delay production and put on-time delivery at risk

Best Practice: Gather, resolve, and consolidate all internal questions and feedback before submitting. This ensures an efficient workflow and prevents unnecessary rework.
